Who we are

This website is run by Sonrisa Energy (TODO-OWNER: legal entity name), TODO-OWNER: registered address. We are the controller of the personal data described in this notice.

We are registered with the Information Commissioner's Office under number TODO-OWNER: ICO registration number.

What we collect

When you request a quote through our online form, we collect:

• Details about your property and needs: property type, postcode, size, number of rooms to heat, age and insulation, current heating, whether you want heating or heating and cooling, any model you are interested in, your timing and whether you own the property.
• Photos and room details, if you add them: photos of the rooms and of the outside of the building, approximate room sizes and details of the windows. Your browser makes each photo smaller before sending it, which also removes hidden details stored in the file, such as where the photo was taken.
• Your contact details: name, email address, phone number, how and when you prefer to be contacted.
• Anything you add yourself in the notes field.

When you send a trade enquiry from our For installers page, we collect:

• Your company details: company name, F-Gas company certificate number and, if you give it, your Companies House or VAT number.
• Your order details: the models and quantities you ask about, any sizes or other details you add, the delivery postcode and when you need the units.
• Your contact details: name, work email address and phone number, and anything you add in the notes field.

Like any website, our hosting provider also processes technical data such as your IP address and browser information, to deliver the pages and to protect our forms from automated abuse.

Please do not include sensitive information, such as health details, in the notes fields, and avoid photos that show people or personal documents.

How we use it

We use your details to contact you about your enquiry, to prepare for and arrange your free survey, and to prepare your quote. For a trade enquiry, we also use them to check your F-Gas certification and to send you trade prices. We do not use them for marketing unless you ask us to, and we never sell them.

Our lawful basis

• Steps before a contract (UK GDPR Article 6(1)(b)): you ask us for a quote or for trade prices, and we need your details to respond and prepare it.
• Legitimate interests (UK GDPR Article 6(1)(f)): keeping our website and forms secure and free of spam.

Who receives your data

• Our team, who handle your enquiry.
• Cloudflare, which hosts this website, runs the security check on our forms (Cloudflare Turnstile) and delivers your enquiry to our mailbox by email. Cloudflare acts on our instructions as our service provider.
• The provider of our business mailbox, where your enquiry is stored as an email.

Cloudflare may process data outside the United Kingdom. Where it does, the transfer is protected by safeguards recognised under UK data protection law.

How long we keep it

Your enquiry is kept only as an email in our company mailbox. We keep it for TODO-OWNER: retention period and then delete it. If you go ahead with an installation or a trade order, we keep the records we need for it and for its warranty for as long as they are needed.

Cookies and similar technologies

We do not use analytics, advertising or tracking cookies, so there is no cookie banner on this site.

While you fill in the quote form, your answers are kept in your browser's session storage, so that refreshing the page does not lose them. They stay on your device and are cleared when your request is sent or when you close the tab. Photos are not stored in your browser at all: they stay in the open page until your request is sent. The trade enquiry form does not store your answers in your browser.

The security check on our forms (Cloudflare Turnstile) uses technical information from your browser to tell people from bots. It is not used for advertising.

Your rights

You have the right to:

• ask for a copy of the personal data we hold about you;
• ask us to correct data that is wrong or incomplete;
• ask us to delete your data;
• ask us to restrict how we use your data, or object to how we use it;
• ask for your data in a portable format.

Complaints

If you are unhappy with how we have handled your data, please tell us first so we can put it right. You can also complain to the Information Commissioner's Office (ICO) at ico.org.uk/make-a-complaint or on 0303 123 1113.

Changes to this notice

We may update this notice from time to time. The date at the top of the page shows when it last changed.
